Use the workbook well

A simple operating sequence

Start with the clean sheet and keep the completed example as a reference.

  1. 1

    Standardise item names

Choose one unit for each item before entry.

  2. 2

    Record every movement

Do not record purchases while ignoring issues and transfers.

  3. 3

    Carry the balance

Use the previous closing value as the next opening value.

  4. 4

    Compare with physical stock

Investigate differences and record approved adjustments visibly.

Before reliance

Review the record

  • Item and unit are consistent
  • Transfer references match
  • Negative balances are investigated
  • Evidence is traceable
  • Adjustments include reasons
  • Physical counts are documented separately
Template questions

Clear answers before you download.

The file is editable, direct and deliberately limited to an operating starting point.

Does the workbook calculate closing stock?

Yes. Closing stock is calculated from opening, inward, outward, transfer-in and transfer-out values.

How should different units be handled?

Use one agreed unit for each item or perform an approved conversion before entry. Do not combine mixed units in one balance.

Can it replace a physical stock count?

No. The register supports reconciliation; physical verification remains necessary at the frequency your project requires.
